Build the bid around the approved work

  • Use line items that can be matched to the WWU
  • Separate labor and material where required
  • State quantities, units, brands or quality assumptions, and allowances
  • Identify exclusions, permits, subcontractors, and owner selections
  • Avoid a single lump-sum proposal

Prepare for the first site visit

  • Review the property and all available reports
  • Confirm access, utilities, measurements, and concealed-condition assumptions
  • Flag scope questions before final pricing
  • Do not promise changes outside the lender-approved process

Prepare for each draw

  • Request inspection only when the milestone is actually ready
  • Provide invoices and supporting evidence required by the lender
  • Keep completed work visible and accessible
  • Resolve failed or incomplete items before requesting payment again
  • Maintain lien and permit documents

Handle changes before work starts

Provide the reason, revised scope, added or deducted cost, time effect, and supporting evidence. The consultant reviews the request within the assigned role; the lender decides whether the change is approved.

Final closeout

  • Complete every approved line item
  • Resolve permits and inspections
  • Provide warranties, invoices, releases, and lender-required affidavits
  • Remove debris and make the property accessible
  • Do not treat substantial completion as final file completion
